Ops Support Manager - HR Admin Team Lead

Organizational Summary

In partnership with HR in support of Citi employees, HR Shared Services (HRSS) provides services that deliver business and economic value to enable Human Resource objectives and Citi’s growth. HRSS has an impact on all aspects of the employee and non-employee lifecycle, from recruitment to retirement, including payroll, onboarding, career mobility, learning and development, talent and performance management, compensation and benefits.

Job Summary

To lead a customer-centric Services team that delivers efficient and effective services to the local Citi population. To deliver operational excellence through ensuring customer satisfaction targets and Service Level Agreements are consistently met. To coach, develop and motivate the Services team to broaden team capabilities and increase engagement. To drive continuous improvement initiatives which streamline processes and improve service standards. To ensure Services team is compliant with policies and regulatory requirements.

Key Responsibilities:

  • Ensure smooth running of HR Admin operations and maintain Business As Usual (BAU) by managing a team of HR Admin Specialists
  • Ensure Service Level Agreements (SLAs) and customer satisfaction targets are consistently met
  • Carry out checks to ensure tasks are completed on time and according to set procedures
  • Liaise with HR & staff to proactively resolve outstanding customer issues promptly and successfully
  • Act as the first escalation point for complex or unresolved queries from team. And for queries that cannot be resolved at own level, escalate to Country Services Manager
  • When operationally necessary, carry out team duties; these may include employee on-boarding, termination process, payroll, database management and etc.
  • Manage the resourcing of the team to ensure adequate coverage
  • Ensure the team adheres to data security, risk and compliance policies
  • Keep up-to-date with latest internal policies and regulatory requirements and amend operational processes accordingly
  • Share vision, goals, performance standard and service expectations with the team and promote a culture of Service Excellence amongst team members
  • Identify performance and knowledge gaps and educate /coach team members
  • Develop close working relationships with HR Partners and act as a key contact for HR peers
  • Participate and collaborate with various internal stakeholders in HR related projects
  • Review and adjust current processes to ensure alignment with customer needs and expectations
  • Review customer satisfaction levels / feedback and implement actions accordingly
  • Continuously review operational processes to ensure efficiency are maximized and recommend improvement
  • Keep up-to-date with HR policies and update operations processes to align with new requirements
  • Participate in regional or global process improvement projects and implement global initiatives at a local level
  • Be able to demonstrate attributes that define Forward Compatibility, such as being: Adaptable, Bold, Curious, Collaborative and Determined


Knowledge / Qualifications:

  • Candidate must possess at least a Bachelor's Degree with 5 years related work experience in similar field preferably in an HR Shared Services environment
  • Possess an understanding of Customer Service and has worked in an operations / service environment
  • Possess functional knowledge of the HR software
  • Understand current HR policies and regulatory requirements
  • Excellent English written & verbal communication skills
  • Strong interpersonal skills
  • Must establish and maintain healthy working relationships with all levels of staff.
  • Able to handle high volume of work & adapt to change
  • Matured and strong attention to detail
