Basic Job Description
Provide full secretarial and administrative support to the Business Partner Management and to ensure the smooth running of the office of Business Partner Management.
Tasks & Accountabilities
Secretarial and Administrative Duties:
To manage and organise the day to day activities of the VP AP Business Relations & Site Manager ITS Cyberjaya: -
Mail: Draft answers to routine correspondence and gather background information to facilitate action indicated in correspondence and dates checked regarding requests for future commitments.
Travel and hotel arrangements: to ensure that flights and hotel arrangements are confirmed and business data, files, relevant materials are assembled for the trip.
Appointments: to exercise judgement in setting up appointments and meetings to ensure maximum usage of executive’s times and to gather all information and material for the meeting. All appointments and meetings are to be recorded and updated daily.
Administrative Support to Department:
To provide administrative support to the Group Managers and department: -
Making travel and hotel arrangements and ensure all necessary approvals are obtained.
Assist to prepare and print presentations and report and materials required.
Ensure timely submission of all staff timesheets.
Attend to new staff administrative requirements, i.e. ensure that seating arrangements, PC and phone are set-up prior to commencement of new staff
Skills & Qualifications
Possess a recognised Private Secretarial Certificate/Diploma or its equivalent
At least 3 years experience in working for middle management level.
Computer literate with knowledge of Microsoft applications.
Ability to work in a multi-cultural environment.
Possess good interpersonal, communication skills; able to communicate clearly and confidently with all contacts.
Ability to work independently.
A self-starter with initiative and well organized.
Meticulous and possess high standards of confidentiality.
Able to prioritise effectively
Able to keep track of progress on outstanding issues and ensure follow-up in a timely manner.
